    Your tasks

    Our Contract Logistics team is seeking a team assistant to work with us! This is a great opportunity for you, if you have a positive attitude, strong talent for well-structured work and organizational skills to support an amazing team in reaching its objectives and performance. We're looking for a team player, partnering with another assistant and making an impact together.

    You will be the go-to-person for our senior managers and their team, interacting with people both inside and outside the organisation. Good communication will be your key.

    Further tasks are likely to include:

    • keeping track of and managing calendars of senior leaders and scheduling meetings; including writing on behalf of managers.
    • organizing and carrying out meetings, conferences and internal events.
    • meeting and greeting visitors at all levels of seniority;
    • liaising with clients, suppliers and other colleagues.
    • support team with travel arrangements, visas as well as expense handling;
    • assisting with global administrative processes, especially for various HR processes in close collaboration with HR department.
    • managing invoices, approving and ordering office supplies and IT hard- and software.
    • support in cost centre -, budget planning and reporting, invoice checking.
    • producing documents, briefing papers, reports and presentations for team.
    • carrying out background research and presenting findings

    Requirements

    You have completed training in business administration and have some previous experience as an assistant. Ideally, you'll have worked in an international setting of logistics services.

    You should also bring the following skills:

    • Job experience in HR is a plus as is experience in Logistics;
    • Strong know-how of MICROSOFT OUTLOOK, TEAMS, NOTES, POWERPOINT, EXCEL, WORD;
    • Fluent in English and German;
    • Strong communication and analytical skills;
    • Empathy, organizational acumen, can do and team player mentality, open for challenges, reliable, flexible, forward looking, positive spirit.

    You are the expert in your work. As an assistant, you will shape this role yourself.

    As part of the assistant team, you can perform and improve tasks independently and deputise for each other.
